We’re looking for a highly organized and proactive Executive Assistant to support a CPA/Financial Planner (CFP) who is building a holistic, high-touch service for a high-net-worth client base. This role goes far beyond calendar management; you’ll be a critical right-hand in delivering exceptional client experiences, coordinating complex tasks, and helping bring a vision of integrated business advisory and personal financial planning to life.

Key Responsibilities
Executive Support
· Manage a busy and dynamic calendar, including scheduling internal and client meetings
· Draft and manage email communications, follow-ups, and reminders
· Track and coordinate ongoing projects and client deliverables, ensuring nothing slips through the cracks
· Prepare the executive for meetings with agendas, background materials, and briefing notes
Client Experience is Everything
· Serve as a key point of contact for clients, offering a warm, professional, and detail-oriented experience
· Coordinate onboarding for new clients, including forms, scheduling, and follow-up
· Track client touchpoints and ensure timely check-ins, renewals, and reviews
· Help implement systems and processes to elevate the client journey from initial engagement through ongoing support
Operations & Project Coordination
· Assist in developing and documenting internal workflows and procedures
· Track progress on strategic projects (e.g., launching new services, implementing new tech tools)
· Liaise with bookkeepers, investment advisors, insurance professionals, and other collaborators
· Maintain organized digital files and records across CRM, cloud storage, and planning software
Marketing & Communications (Light Involvement)
· Assist in scheduling content for newsletters, LinkedIn, or other client communications
· Support planning and coordination of client events, webinars, or special initiatives
What We’re Looking For
· 5+ years of experience as an executive assistant or in a similar role
· Excellent communication skills, both written and verbal
· Exceptionally organized and a love for structure and follow-through
· High level of professionalism and discretion when handling confidential information
· Tech-savvy and comfortable learning new tools (e.g., CRMs, project management software, financial planning platforms)
· Experience or interest in finance, professional services, or client-focused businesses is an asset
